Organization Model
OpenCryo is built for multi-org from day one. Each organization (clinic, storage facility, logistics company, collection service) has its own users, data, clients, portals, and settings. Data is isolated between organizations by default.
Organizations define relationships with directional roles: brand, collection service, logistics, storage provider, clinic. These roles describe what each entity does in the service chain.
Workflow Chains and Order Cascade
When a client orders through one organization's portal, the system can automatically generate linked work items at partner organizations. A collection service, a logistics provider, and a storage facility each see their own piece of the work. Orders activate sequentially as each step completes.
Inter-Organization Transfers
Move containers and specimens between organizations with full chain of custody. In-transit tracking, delivery confirmation, and visibility grants ensure the source organization retains read-only access to transferred specimens. The transfer wizard walks staff through the process: select client, choose specimens, review container readiness, resolve conflicts, execute.
Inter-Organization Invoicing
Billing configurations per relationship support configurable cycles (weekly, biweekly, monthly, quarterly, annually), payment terms, and per-product pricing. Automatic invoice generation from fulfilled orders. Invoice lifecycle tracking from draft through issued, paid, overdue, disputed, or cancelled. Unique invoice numbers and PDF generation.
